Start your day right with the Daily Huddle

One of the most important meetings your business should run is the daily huddle. Now I’m not talking about everyone standing up and locking arms like they’re standing on a football pitch at half time!
I’m talking about creating a routine that not only creates efficiencies and increased communication in your workplace, but
also brings the team together so that no one is left in the dark and everyone is singing off the same hymn sheet. Sound good?
In my previous co-founded company, I ran the sales arm of the business and would regularly find myself in meeting after meeting and repeating myself three times over to different members of the team. In this modern age we can all email each other, pick up the phone or knock on office doors when we need something, but these constant interruptions were not conducive to creating an efficient rhythm and allowing everyone to get on with their work each day.
So where did this idea come from?
After reading about meeting rhythms in ‘Scaling up’ by Verne Harnish, we adopted his huddle methodology and began holding daily huddles for the sales division, followed by a separate huddle for the executive team.
By the end of the first week, it had changed our world for the better, and this is how we did it.
In order to have a successful huddle, Verne advises that it should be short and sweet with everyone back to their desks within 10-15 minutes. There are three major agenda items that are covered each day:
1. What are you working on over the next 24 hours
2. How did you track against your daily metrics/KPIs
3. Were there any constraints or issues that prevented you from performing your role to the best of your ability
So why is the huddle such a good thing?
Starting our day with a clear plan and an awareness of what our team were working on was a great way to improve our culture and moral. Having a regular meeting rhythm that allowed everyone a minute of two to update the team on their successes, their sticking points and any other pertinent information resulted in the creation of a tighter team, and a happier one at that too.
Why will the huddle fail?
If those attending are not taking the time to be specific in their updates and they approach every day with the same vague and unhelpful information, it can lead to resentment among meeting participants and will not see the huddle flow in the way that it is designed to do.
We found a way to help with this was to ensure the team had a 5 minute reminder prior to the meeting to note down all the important information they were required to share.
Another thing to watch out for is employees feeling like they are being micro managed. Try to resist the urge to check up on whether the team member performed the task they said they would the previous day unless absolutely necessary.
Key Ingredients to a successful huddle
1. Huddle at the same time every day. Preferably pick an obscure time so everyone remembers it. Ours was at 9:16am!
2. Always stand for the meeting. This will ensure everyone remembers that it is designed to be short and sweet.
3. Plan for 1 minute per person for each update
4. Have someone lead the huddle who can keep everyone to time and advise when things need to be taken offline.
